We are seeking to recruit an events coordinator preferably a coast resident.He/she must;
-Talk with clients, partners and /or sponsors about events and offer suggestions to make sure their requests can be met.
-Coordinate appointments and visits to see our space, book space and schedule of events on the calendar.
-Follow up with the clients to arrange payment and, prior or after the event.
-Prepare and modify event contracts as requested .
-Assist with preparing budgets and provide periodic progress reports for each event.
-Negotiate the type and costs of services to be provided, within a budget .
-Keep track of event finances including Lpo’s, invoicing, and reporting.
-Collect and analyse data on events undertaken, and report on project outcomes
-Review and develop administrative systems and procedures.
-Consult with property management team to make sure adequate staff members are rostered for duty during specific events.
-Coordinate staff & service providers to ensure that the program of events occurs on time, for example, set ups and the serving of food and refreshments.
Requirements;
•Bachelor’s degree preferred; significant work experience can substitute for the degree.
•At least 3 years experience with office administrative management.
•At least 2 years experience coordinating special events.
•Proficient using the latest versions of Microsoft Word, Excel, PowerPoint, Access, and mail merges; email and web searches.
