1. JOB SUMMARY - PURPOSE
To provide efficient and effective front office, customer service, and administrative support to the Company.
2. DUTIES AND RESPONSIBILITIES
a. Provide administrative support to the Company (including filing, switchboard, stationery and supplies management).
b. Provide customer service support to the Company (managing the reception desk, information sharing, responding to enquiries, and handling customer correspondence).
c. Inform Procurement manager of received goods from suppliers for verification.
d. Day to day maintenance of the office premises (including security).
e. Custodian of petty cash.
f. Welcoming visitors
• Manage incoming and outgoing mail. and safe custody of un-dispatched cheques and valuable items.
• Maintain Confidentiality in all aspects of client and staff information.
• Schedule appointments and maintain the office appointment diary.
• Organise meetings (making reminders if necessary, arrange of meeting areas, prior preparation for beverages if necessary).
• Tidy and maintain the reception area.
• Open, date stamp all general correspondence and distribute accordingly.
• Provide word-processing/excell and secretarial support, copying and faxing.
• Assist the Executive Directors and other staff as requested.
g. Perform any other duties as may be assigned from time to time.

(The knowledge, skills and abilities may be acquired through a combination of formal schooling, self-education, prior experience, or on-the-job training)
(a) LEVEL OF EDUCATION/ACADEMIC QUALIFICATION
KCSE (C)
(b) SPECIALISED TRAINING/PROFESSIONAL QUALIFICATIONS
Diploma in business related studies.
(c) OTHER COMPETENCIES/ABILITIES/SKILLS
Strong interpersonal skills
Strong office management skills
Courtesy and high integrity
Good public relations and customer care
Good oral and written communication skills
Computer skills (MS Office Suite)
(d) RELEVANT JOB EXPERIENCE
